Custom SoftwareWorkflow Optimization
A healthcare services provider reported $85,000 in weekly savings after Outerscope introduced an AI-assisted form completion workflow. The system supported 200+ employees handling three internal CRM forms and four external forms covering 411 questions across different combinations and edge cases.
Outerscope built a Chrome extension that populated forms from intake information and a live productivity dashboard for operational oversight. Employees could review prepared information within the existing application process.
What we identified
The healthcare CRM workflow relied on detailed intake forms to deliver its services. Completing the work meant handling three internal CRM forms and four external forms covering 411 questions and accounting for different circumstances within each application.
At the start of the engagement, only 51% of forms were being completed correctly. Form preparation took 45 minutes in the documented workflow. Across a team of 200+ employees, the process required substantial time and attention.
The operating need was specific: help employees complete complex forms accurately and give the leadership team a clearer view of the work as it happened.
What we built
An assistant inside the existing workflow
Outerscope built a Chrome extension that sat alongside the application screen. The assistant used intake information to populate the relevant forms, allowing employees to verify the prepared work before completing the process.
The interface was designed around the employee at the desk. It placed assistance inside the environment where form completion already happened and kept human review within the workflow.
A live productivity dashboard
Outerscope also built a dashboard that gave operators a live view of employee productivity. Leadership could examine how work moved through the process on a daily basis.
The assistant addressed the task itself. The dashboard gave the organization visibility into the operation supporting that task.
How the working process changed
Employees began working from information prepared by the assistant. Their role in the form workflow shifted toward verification and review, with the system handling much of the repeated entry.
In the documented workflow, completion time fell from 45 minutes to under 12 minutes over a 30-day period with weekly improvements. The change was delivered through a focused interface within the existing application process.
Operational oversight was part of the implementation. The live dashboard made productivity visible to the people managing the work, connecting the employee experience with the needs of the wider organization.
What the engagement achieved
Outerscope reported $85,000 in weekly savings (an estimated $4.42M annualized at 52 weeks) and reduced the average time required for the documented forms to under 12 minutes.
Workflow performance
From 45 minutes to under 12.
The annualized estimate applies the weekly savings across 52 weeks; it is not a measured full-year total.
Outerscope also reported that profitability per employee increased by more than 274%, required training was reduced, and employee churn decreased. Employees could spend more of their time completing and reviewing work, with less repeated entry.
The 51% correct-completion figure established the initial quality problem. The resulting system combined form assistance, employee verification, and live operational visibility around the same process.
For organizations with complex healthcare CRM workflows, complex administrative workflows can absorb substantial employee capacity. This engagement shows how a targeted assistant and an operational dashboard can improve the work at both the individual and company level.
